Art Center College of Design is a non-profit private college located in Pasadena, California with an enrollment of approximately 1600 undergraduate and 150 graduate students. Undergraduate degrees are offered in eleven disciplines in addition to six graduate programs. The Director of Financial Aid Operations will work closely with the Managing Director of Financial Aid on all essential financial aid operations for the College.  In the Managing Director’s absence the Director will oversee all staff and operations. The Director assumes responsibility for development and oversight of the College’s scholarship programs. Currently, this is an $11M program. The Director works on creative strategies for uses of the funds for recruitment and retention programs and works with the Sr. Vice President on budgeting for entering and for continuing student scholarships.  The Director is responsible for adhering to the College’s scholarship budget. The Director also assumes stewardship of all donor scholarship funds, including the appropriate awarding of them and expending of the funds in a timely way. The Director will oversee the Administrative Assistant in monitoring these donor funds and will work closely with the Development Department.  

The Director will play an instrumental role in evaluating the office’s business processes and systems to assure maximum use of the available software systems.  In this role, the Director will supervise Financial Aid Operations Specialist, and will work closely with the Information Technology department to assure the proper delivery and gathering of meaningful data.  The Director will establish what data is significant and meaningful and assure that reports are generated. The Director will be responsible for selected compliance issues and for outward communications of policies and procedures via the College Website and other publications. The Director will work to assure that financial aid programs are fully supportive of student recruitment, retention and diversity and access goals.  


  • Oversee the process of awarding new student scholarships; manage the process of notifying new student scholarship recipients of their awards as implemented by the Associate Director; assist the Sr. VP of Admissions & Enrollment Management; create scholarship budget projections and strategies
  • Responsible for overseeing and monitoring the continuing student scholarship process and subsequent eligibility; oversee the budgeting process for the College and by department and develop institutional policies; oversee calculation and scoring scenarios and assign scholarship award amounts, notification of students of awards, and scholarship scheduling
  • Maintain knowledge of compliance with financial aid regulatory requirements as they pertain to federal, state and accrediting agencies; implement compliance regulations across campus; administer and establish new policies and procedures to streamline the department procedures and stay in compliance with the annual Title IV changes
  • Implement awarding process for donor scholarships; monitor availability of donor funds and work closely with the Development office to assure appropriate awarding and stewardship of funds
  • Responsible for successful oversight of student Satisfactory Academic Progress (SAP) as required by federal law, and take necessary action if progress is not being met; send probation/suspension notices to students and review appeals; create appeal process and notify students of outcome of appeals
  • Assure federal fund compliance on return of Pell, SEOG, Perkins, and Federal Loans; responsible for performing return of Title IV (R2T4) funds calculation for any students withdrawing or beginning a leave of absence
  • Assist with assuring that the College has exception free audits
  • Responsible for counseling current and prospective students on costs, financial aid eligibility, application procedures and financing options and creating award packages, verifications and loan certifications as needed
  • Responsible for outward communications/presentations to current and prospective students such as providing FAFSA workshops or presentations on applying for financial aid
  • Provide innovative ideas to streamline the use of data systems and system tools to improve service delivery
  • Monitor the website for necessary updates and posting of new information to provide easy access to financial aid materials and information; update and maintain Financial Aid sections of website, including disclosures such as Campus Crime Information and other federal disclosure requirements
  • Assist in maintaining the College’s financial aid data to assure timely submission of required federal and state funds
  • Assist and support with FISAP reporting, A133 Audit and institutional research reports such as IPEDS under the direction of the Managing Director
  • Create and analyze meaningful data to evaluate and anticipate financial aid trends; will generate reports and data regarding key financial aid factors and measurements


  • Bachelor’s Degree is required and an advanced degree is preferred
  • Five years recent experience in student financial aid administration, and excellent knowledge of current federal and state financial aid regulations and reporting processes
  • Preference will be given to applicants with experience in scholarship administration
  • Must have expertise with databases, with preference for Datatel
  • Commitment to student service and to the concepts of access to higher education
  • Interest in the fields of art and design are appreciated
  • Excellent written, oral and interpersonal communication skill along with excellent problem solving and analytical abilities
  • Experience working closely with teams as well as self-initiating within the workplace
