The Coordinator supports the Chair, Director, faculty and students of the Illustration Department. This is the largest undergraduate department with approximately 500 students and 55 faculty members.

ESSENTIAL FUNCTIONS

• In conjunction with the Director of Illustration, provide support for Illustration students and faculty—answering questions, coordinating resources (parking, scheduling Chair appointments), referring to the Director as appropriate
• Coordinate arrangements for and tracking of student scholarship reviews, including scheduling rooms, updating and distributing scholarship packets, collating and recording scholarship scores, tracking applications and faculty responses, ordering food and equipment, tracking and totaling scores, communicating outcomes to students and financial aid department
• Maintain calendars of Chair and Faculty Advisor
• Oversee students’ use of technical equipment and facilities
• Assist faculty with room reservations and equipment needs for classes
• Edit and write correspondence; manage and ship national and international communications with external partners
• Website—collect deliverables and upload as directed by Chair
• Represent the department at meetings as necessary
• Process travel requests, purchase orders, reimbursements and check requests for the department
• Budget tracking/reconciliation at the request of  the Director
• Supervise student workers for the department at the request of the Director
• Maintain files
• Other tasks as assigned  

• Bachelor’s degree strongly preferred
• 2 years of administrative support experience, preferably in an academic or design environment
• Strong written and oral communication skills; computer skills must include solid proficiency in MS Office Suite including Word and Excel
• Excellent interpersonal skills to work effectively with students, faculty and staff
• Must be detail-oriented, highly organized, reliable and resourceful, with ability to balance priorities and take initiative
• Knowledge of art and design
• Ability to handle a fast-paced office and multiple projects
