The Administrative Assistant is responsible for providing information about the College to the general public, prospective students, and applicants. This is a front desk position with responsibilities for clerical work such as opening and sorting mail, checking in portfolios, and processing transcripts and test scores. The Admissions office is a busy arena that handles both recruitment and admissions processes for undergraduate and graduate programs of the College.
Essential Functions
- Provide assistance and information to guests, prospective students and applicants including scheduling counseling appointments, and campus tour reservations, all aspects of admissions and general information on the College
- Maintain the daily appointment calendar
- Receive, open and distribute mail
- Organize incoming application materials for processing, match incoming materials with applications
- Process transcripts, test scores, and letters of recommendation by entering information in database for applicants and filing the paperwork
- Process health certificates by updating the checklist on database and filing the paperwork; notify applicants of missing health certificates
- Assist with data entry of prospective student information in the database
- Perform general administrative and clerical tasks as needed
- Cross-train on procedures usually assigned to other staff and assist in times of absence or backlog as needed
