Director, Alumni Reunions

The Director of Alumni Reunions is responsible for the strategic planning, development, administration and coordination of all alumni programs and events relating to the College’s Alumni Weekend and Reunions programming. This position will be responsible for leading, planning, and executing a comprehensive Alumni Weekend/Reunions model for the ArtCenter Alumni Association. This position may require overnight travel and work evenings and weekends.

  • Bachelors’ degree from an accredited college or institution
  • Knowledge and experience of fundraising and development
  • 2–3 years of experience in alumni relations, reunions or event planning, including budget administration
  • Experience fostering productive relationships with volunteers and developing volunteer leadership
  • Excellent interpersonal communication skills to work effectively with diverse groups and constituencies, including students, alumni, donors, faculty, staff and corporate contacts
  • Excellent organizational time management skills, detail-oriented, highly organized, able to balance priorities, takes initiative, reliable and resourceful
  • Ability to work well in a multi-ethnic and multi-cultural environment with students, faculty and staff
  • Ability to work independently and as part of a team
  • Strong computer skills with proficiency in databases and MS Office Suite, including Word, Excel and PowerPoint; ability to learn new software
  • A commitment to diversity, and the ability to establish and maintain effective working relationships within ArtCenter’s diverse communities
  • Ability to handle all information with tact and discretion and recognizes the confidential nature of ArtCenter business
  • Ability and willingness to travel and work evenings and weekends as necessary, and to staff events

  • Masters’ degree from an accredited college or institution
  • Appreciation of the Arts
  • Prior work experience in higher education
  • Experience with Raiser’s Edge

Essential Functions

Administrative Operations — 60%

  • Develop the overall planning, strategic vision, management, and marketing of the Alumni Reunion Weekend Program (beginning Fall 2018) that fosters a high level of alumni participation and that meet the established goals developed for the programs
  • Manage and administer the overall programming budgets to assure sound fiscal expenditures and management
  • Benchmark, monitor, and adjust as necessary, the assigned program areas as they relate to defined goals, procedures, budgets and timetables
  • Identify and develop new program opportunities and establish appropriate goals for designated programs
  • Responsible for the recruitment, management and supervision of alumni volunteers and volunteer groups within the Alumni Reunion Weekend leadership groups
  • Develop and manage the College’s alumni affinity outreach efforts, including but not limited to developing the plan for affinity outreach, managing the annual Alumni Reunion Weekend and other related engagement activities
  • Maximize alumni attendance by using various and diverse recruitment and communication vehicles including but not limited to direct mail, web sites, telephone campaigns, volunteer committee outreach efforts and personal contacts

Alumni Programming — 40%

  • Responsible for the identification and recruitment of reunion chairs for reunion committees and for the development of those committees for maximized volunteer participation
  • Develop an appropriate and effective Alumni Reunion Weekend schedule of events including but not limited to back to school activities, individual program dinners or activities, etc.
  • Partner with all appropriate departments in support of the Alumni Reunion Weekend college event; in addition, coordinate a college-wide calendar of activities for the weekend
  • Coordinate with the Director, Alumni Relations to develop a strategic plan in coordination with alumni chapter chairs and regional leadership to promote Alumni Reunions Weekend

Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions; extended periods of time viewing computer monitor; interactions with other individuals. Due to the nature of the work environment, there is regular exposure to fumes, dust and noise.

Physical: Physical: The position is generally sedentary. Employees sit most of the time, but may walk or stand for brief periods of time. Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight (up to 20 pounds); to operate modern office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information. International and Domestic travel by car and airline and overnight travel is required. Able to work nights and weekends to attend events.

Vision: Must be able to have the visual capacity to perform activities such as preparing and reading reports, viewing a computer terminal and other normal office work with or without correction.

Hearing: Must be able to communicate effectively in the course of normal office communication or exchange ideas with or without correction.
