Operations Specialist, Campus Security

This position provides administrative and project support to the security department with purchasing, billing, vendor and project management. Responsibilities include managing and tracking incident reporting, vehicle use, key request, request for access and project authorization request. The Operations Specialist will interact with students, faculty and staff to ensure service requests are being met and to the requester’s satisfaction. The Operations Specialist will also work with vendors on deliverables and work order completions.

FLSA status: Non-Exempt

Qualifications

  • 2 years of experience providing administrative or project support, including project and budget management
  • Detail-oriented with strong organizational, multi-tasking and prioritizing skills; must have ability to follow-through and complete projects
  • Ability to handle a fast-paced office and multiple projects
  • Must be able to work independently as well as be flexible to work as a part of a team and take direction from others
  • Strong computer skills including proficiency in MS Office Suite products and databases
  • Excellent written and oral communication skills (including editing and proofreading) detail-oriented, highly organized, able to balance priorities, takes initiative, reliable and resourceful
  • Excellent interpersonal skills to work effectively in a multi-ethnic and multi-cultural environment, with all levels of faculty and staff, outside professionals and other vendor
  • Ability to travel between campuses
  • A commitment to diversity, and the ability to establish and maintain effective working relationships within ArtCenter’s diverse communities
  • Ability to handle all information with tact and discretion and recognizes the confidential nature of ArtCenter business


Preferred Qualifications

  • Bachelor’s degree from an accredited college or institution
  • Prior experience in higher education
  • Basic knowledge of law enforcement or security office environments
  • Bi-lingual

Essential Funcitons

Operations — 60%

  • Track incident reporting, vehicle use, key request, request for access and project authorization requests
  • Assess current business practices to standardize processes, increase efficiency and develop reporting procedures
  • Research and develop ways to improve services and communications to the campus
  • Review and recommend changes in internal operations as necessary
  • Develops, reviews, communicates and updates policies
  • Interface independently and professionally with outside professionals and other vendors, community leaders and local government officials, senior staff, faculty, students, volunteers, and executives from other companies and institutions
  • Receive calls, answer questions, monitor requests, maintain logs, and dispatch work order requests generated through the security emails and phone calls and answer questions
  • Develop and manage working relationships and communication outreach with students, faculty, and staff

Administrative Support — 35%

  • Perform general administrative and clerical tasks including photocopies, filing, preparation of mailings, general correspondence and supply management I
  • Maintain and keep current the calendar for Security Department including scheduling meetings, time away from the office and special events
  • Originate, review, edit, proofread, compile, and send correspondence and other forms of communication on behalf of Security Department, as needed
  • Coordinate and track department purchasing and expenses, process purchase orders and check requisitions, ensure invoice are approved for payment
  • Prepare expense reports, corporate card expense reports and assist in the compilation of budget and other administrative documentation for the Security Department
  • Maintain intranet and internal communications

Other — 5%

  • Organize and manage training or special events held by the Security Department
  • Serve on college-wide committees
  • Assist with special projects and other duties as assigned

Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions; extended periods of time viewing computer monitor; interactions with other individuals. Due to the nature of the work environment, there is regular exposure to fumes, chemicals, dust and noise.

Physical: The position is generally sedentary, but will require being mobile to move around and between campuses. Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight (up to 20 pounds); to operate modern office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information. Must be able to travel between buildings and campuses.

Vision: Must be able to have the visual capacity to perform activities such as preparing and reading reports, viewing a computer terminal and other normal office work with or without correction.

Hearing: Must be able to communicate effectively in the course of normal office communication or exchange ideas with or without correction.
