Associate Director, Financial Aid (Cal Grant/Ops)

Reporting to the Director of Operations this position will counsel continuing students and families on the financial aid process, determining eligibility, and awarding federal, state, and institutional aid.  The incumbent will also be responsible for the Cal Grant program and will assist with other operational functions such as set up and implementation of the annual Colleague rollover, and management of other projects as assigned.

Salary grade: 8

  • Bachelor’s degree in related field or equivalent work experience from an accredited college or university
  • 7 years of recent experience in financial aid administration
  • Ability to work independently and as part of a team and adapt to changing environment
  • Commitment to student service and to the concepts of access to higher education
  • Knowledge of Federal and State Financial Aid regulations
  • Prior experience in counseling, information integration
  • Ability to manage data — both reporting and interpreting of financial aid information
  • Experience with student financial aid systems such as Colleague, COD, NSLDS, Web Grants
  • Excellent written and oral communication skills, detail-oriented, highly organized, able to balance priorities, takes initiative, reliable and resourceful
  • Excellent time management skills and ability to handle multiple projects with competing deadlines
  • Handle all information with tact and discretion and recognizes the confidential nature of ArtCenter business
  • Demonstrated experience in and a commitment to diversity, and the ability to establish and maintain effective working relationships within ArtCenter’s diverse communities

Preferred Qualifications

  • Experience with administration multiple financial aid programs
  • Knowledge of art and design education desirable
  • Experience with Ellucian Colleague
  • Prior experience with higher education financial aid counseling
  • Proficiency in a second language (other than English)

Essential Functions

Financial Aid Advising and Compliance - 40%

  • Counsel students and parents regarding federal, state, institutional and privately funded programs; explain student financial aid policies, procedures and processes; evaluate student situations and requests regarding financial aid awards; advise students on the timely completion of financial aid applications
  • Assist in scholarship and award process including adjustments and revisions; advise students regarding standards of satisfactory academic progress, address problems and other matters pertaining to continued eligibility; respond to telephone calls, correspondence and email messages
  • Provide counseling on budgeting, aggregate loan limits, debt management, bankruptcy and default resolution as it applies to financial aid; offer assistance and provide initial admission, accounting and registration information
  • Ensure compliance on federal and state regulations
  • Process all forms in accordance with State and Federal regulations and Institutional policies and procedures; complete and maintain required documentation in the student financial aid file

Financial Aid Operations Support and Implementation - 35%

  • Work with Operations team to conduct annual rollover in Colleague and assist with implementing new and existing system and business process requirements throughout the year
  • Assist with implementing strategies to help streamline technical operations across business processes
  • Work with Financial Aid staff and the College’s IT department to learn query writing and assist with troubleshooting technical systems as needed
  • Communicate and assist with cross training staff on new guidelines and processes

Manage Financial Aid Programs and Projects — 15%

  • Manage the California State Grant program including awarding, verification of eligibility, and reconciliation as required
  • Stay current on all program requirements, updates, and revisions
  • Maintain users and submit annual updates
  • Ensure proper awarding in accordance with state requirements
  • Develop, communicate and cross train staff on guidelines and processes
  • Manage projects as assigned by the Managing Director of Financial Aid

Reporting and Compliance — 5%

  • Ensure compliance on federal and state regulations
  • Generate reports and meaningful data as needed
  • Ensure the accuracy and integrity of student aid records and reports

Other Duties — 5%

  • Serve on educational or institutional committees as appropriate such as the A-Team
  • Maintain memberships and active involvement in applicable professional organizations
  • Represent Financial Aid at Open House and other general information sessions as requested
  • Other duties as assigned

Mandatory Duty to Report

This is a full-time position with a schedule of Monday through Friday, 8:30 to 4:30 p.m. The position is eligible for flexible scheduling and can be performed, remotely, hybrid or required as a condition of employment. 

Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions; extended periods of time viewing computer monitor; interactions with other individuals. Due to the nature of the work environment, there is regular exposure to fumes, chemicals, dust and noise.

Physical: The position is performed in an office and various campus settings. Primary functions require sufficient physical ability and mobility to work in an office or move around campus; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight (up to 10 pounds); to operate modern office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information. Regular and consistent attendance are required for most positions; must be able to travel between campuses and to off-site locations.
