Associate Dean of Students / Director of the Center for the Student Experience

As a member of the Center for the Student Experience (CSE) team, under the leadership of the Associate Provost for Student Affairs/Dean of Students and in support of the core educational mission of the College, the Director/Associate Dean coordinates programs essential to the transition, retention, and success of students. This position is intricately involved in coordinating all resources offered by the Center for the Student Experience. The incumbent is responsible for assisting the Associate Provost/Dean in administering the day-to-day affairs of CSE.

Beginning fall term 2021, the College will require all persons who want to access the physical campus in person to be fully vaccinated against COVID-19.  We will also continue to require face coverings, physical distancing, hygiene and sanitation measures as an extra layer of protection against COVID-19 and other respiratory illnesses.

FLSA status: Exempt

Salary grade: $75K-$100K (10)

  • Bachelor’s degree required in higher education administration or related field from an accredited college or university;
  • Minimum 5 to 7 years of progressive experience in a leadership role within student affairs/services or related field;
  • Strong leader with proven organizational abilities and able to work effectively in a fast-paced, collaborative team setting;
  • Understanding of college campus judicial procedures and student conduct policies;
  • Experience with issues related to Americans with Disabilities (ADA) compliance and providing reasonable accommodations to students with documented disabilities;
  • Able to develop working relationships with faculty for the purpose of advocating for students with disabilities, conveying decisions regarding accommodations provided, and explaining ADA compliance requirements
  • Experience in assessment and evaluation of programs, services, and/or staff;
  • Principles of management and supervision and conflict management/problem solving techniques are required;
  • Committed to understanding the needs of a diverse population of faculty, staff and students and able to work effectively with individuals from diverse backgrounds;
  • Experience working with a diverse mix of student organizations having a broad range of purposes; student leadership development programs and techniques; developmental needs of college students (including ethnic minority students, LGBTQ students and international students); and college activity planning;
  • Strong verbal, written, and presentation communication skills and the ability to handle conflict resolution issues is important; strong analytical and human relations skills needed to negotiate solutions to complex student issues and concerns;
  • Ability to handle all information with tact and discretion, recognizing the confidential nature of educational business, as appropriate
  • Ability to work evenings and weekends when necessary.

Preferred Qualifications

  • Master’s degree in higher education administration or a related field;
  • Familiarity with college best practices in new student orientation programs and/or other transition and student success programs;
  • Experience in addressing college student health and wellness concerns through programs, student health insurance and/or personal counseling;
  • Experience working with higher education software applications such as Maxient, Colleague, Excel, Word, Outlook, Adobe Illustrator.

Essential Functions

Student Support Services — 60%
  • Coordinate programs essential to the transition, retention, and success of students; responsible for evaluating and developing campus policies and procedures to improve student accountability, responsibility, fairness, and the overall student experience.
  • Serve as Coordinator of Services for Students with Disabilities.
  • Coordinate reasonable classroom accommodations for eligible enrolled degree-seeking students who register with a disability (under the Americans with Disability Act), communicate with faculty and other necessary offices regarding these accommodations, maintain student files, and facilitate discussion related to disability services and accommodations within the campus community.
  • Additional responsibilities include developing and updating policies, programs, and technology resources related to support and services for students; work with Director of Faculty Development to provide educational information sessions for faculty on ADA compliance issues and providing classroom accommodations for student with disabilities.
  • Monitor risk management exposure for ArtCenter College of Design by closely monitoring changes in ADA compliance requirements based on changes in federal and state legislation, emerging case law, and best practices in higher education.
  • Coordinate the College’s student conduct process and implementation of Student Code of Conduct.
  • Supervise Associate Director for Student Equity/Deputy Title IX Coordinator. Receive investigation reports from the Associate Director for Student Equity and adjudicate cases, as defined by campus policy and/or relevant laws/regulations.
  • Serves as Deputy Title IX Coordinator.
  • Work with staff to oversee all student conduct cases including follow-up on reports issued by students, staff, and faculty of student violations of the Student Code of Conduct, Academic and Creative Integrity Policy, Student Grievance Policy, Title IX/sexual misconduct policy, and other campus policies; perform investigations and determine sanctions for violations; determine when cases need to be reviewed by a hearing committee and facilitate the training and hearing committee procedures.
  • Maintain consistent communication with Campus Safety department to ensure a strong relationship between policy enforcement and the student disciplinary process, and encouraging healthy relationships between students and safety staff.
  • Responsible for evaluating and developing campus policies and procedures for improvement and identifying gaps to improve student accountability, responsibility, fairness, and the overall student experience
  • Compile and provide information for any compliance-related reports (such as the College’s Annual Security Report, coordinated by Campus Security).
  • Coordinate CARE (“Communicate. Assess. Refer. Educate.”) Team: continue implementation of the College’s CARE initiative, which addresses students of emotional, behavioral, or academic concern; student outreach includes managing incoming referrals, determining resources, confirming needed interventions and following up with the student of concern and the referring party. Additional tasks include management of CARE reporting software (Maxient), CARE communication strategy, plan and lead agenda topics for the CARE team to address including student referral follow up, communication and policies.
  • Provide advice and resources to students experiencing personal, medical and academic issues. This includes advising students on the process for requesting medical leaves, exceptions to academic policy petitions, incompletes, and other academic policies.
  • Make additional referrals to counseling, department chairs, academic advising, student health insurance and other on-campus and off-campus resources as needed.
  • Serve on Study Away Emergency Response Team (SAERT), a campus-wide group coordinated by Exchange and Study Programs, to provide input and advice on student conduct issues and critical medical and mental health emergencies for students studying away from ArtCenter’s main campus.
  • Assist Center for the Student Experience staff in responding to and managing campus-wide safety and student personal crises.

Departmental Oversite – 10%

  • Supervise Associate/Assistant Director for Student Conduct [pending approval].
  • Oversees recruitment, hiring, onboarding, learning and development, and supervision of department staff and contractors; oversees performance evaluation process, ensuring consistent use of all applicable policies and procedures; apply performance management for improved performance, make recommendations in discipline and terminations, as required.
  • General departmental leadership and oversight, overseeing the department budget, strategic planning, logistics, events, administrative support to implement operations
  • Comply with policies, rules and regulations and reporting requirements relating to safety/heath, performance standards, operating procedures, processes, and training.

Outreach/Education – 15%

  • Collaborate with academic departments and others including Alumni Affairs, Career Development, Admissions, Enrollment Services, Campus Security, Marketing and Communications, the Design Office and Institutional Advancement on programs that enhance the student experience and promote opportunities for learning.
  • Plan and implement family orientation programs twice a year to the families of incoming students, providing family members with resources and information about ArtCenter's educational goals; assist and participate in new student orientation three times a year. Provide information to new students regarding disability services, student policies and additional resources; assist as needed throughout orientation week including international student orientation.
  • Support major student and campus-wide departmental events such as Orientation, Late-Night Breakfast, and Graduation.
  • Work with CSE to develop policies, strategies and other initiatives that respond to the changing needs of students and student groups (including students of all diverse identities); assist in assessment of student needs and experiences to address student retention concerns; advise students on medical leaves, petitions for exception to academic policy, and other personal issues impacting student success.
  • Perform other duties as assigned by the Associate Provost/Dean.

Departmental Operations – 10%

  • Assess existing services on an annual basis including disability services, student conduct, student support services, etc. and provide qualitative/quantitative data for management of these programs and services.
  • Support hiring, training, evaluation, and supervision of CSE student employees.
  • Contribute to and support development and distribution of department communications, including but not limited to newsletters, social media presence, internal and external web pages.
  • Periodically assess and recommend policies, procedures, or infrastructure to support department functions and student success (e.g., operating budgets, software solutions).
  • Assist the Dean of Students with the departmental implementation of the College’s student health insurance and travel insurance programs — identify needs and trends of student healthcare issues, and arrange for annual renegotiation of policies; liaise with student health insurance provider, advocating for students through problem-solving billing problems; and prepare health and wellness pre-departure materials for student studying abroad.
  • Oversee recruitment, hiring, orientation, training and supervision of department staff (pending approval) and contractors; oversee performance evaluation process, ensuring consistent use of all applicable policies and procedures; apply performance management for improved performance, make recommendations in discipline and terminations, as required.

Non-Essential — 5%

  • Collaborate (as needed) with external agencies and organizations including but not limited to: Pasadena Police and emergency services, Veterans Administration, contracted vendors, etc.
  • Support Art Center Student Government (ACSG) to ensure that student concerns are addressed.
  • Contribute data and descriptive program information for the Center’s annual report and other reports and assessment as required.
  • Serve on College-wide committees as assigned by the Associate Provost/Dean.
  • Maintain active participation and engagement in relevant student affairs professional associations.

Mandatory Duty to Report

All employees who know or have reason to know of allegations or acts that violate ArtCenter’s Title IX Policy prohibiting discrimination, harassment, retaliation, sexual harassment, sexual misconduct, sexual violence, dating violence, and stalking shall promptly inform the Director, Title IX Compliance and Programs or designee or the Associate Dean of Students or designee. Faculty with a mandatory duty to report are required to disclose all information including the names of the parties, even where the person has requested their name remain confidential.

Pursuant to the California Child Abuse and Neglect Reporting Act (CANRA), all employees who know of or have reason to suspect child abuse or neglect involving alleged victims under age 18 shall promptly inform local law enforcement or the county welfare department.


Physical Demands and Working Environment

This is a full-time position with a schedule of Monday through Friday, 8:30 to 4:30 p.m. From time-to-time, it may be necessary to adjust these hours to accommodate workplace needs.

Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions; extended periods of time viewing computer monitor; interactions with other individuals. Due to the nature of the work environment, there is regular exposure to fumes, dust and noise.

Physical: The position is generally performed in an office setting and at events. Primary functions require sufficient physical ability and mobility to work in an office setting or attend/work events; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight (up to 30 pounds); to operate modern office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information. International and Domestic travel by car and airline and overnight travel is required. Able to work nights and weekends to attend events.

Vision: Must be able to have the visual capacity to perform activities such as preparing and reading reports, viewing a computer terminal and other normal office work with or without correction.

Hearing: Must be able to communicate effectively in the course of normal office communication or exchange ideas with or without correction.
